Welcome to the Quinte Regional Science and Technology Website. The awards displayed here are tentative and not reflective on the final awards that will be given out during the awards ceremony but will give an idea of what may be there

    

 QRSTF 2017 - April 1st, 2017
 We will be at Loyalist College again. It is an excellent venue for our fair.
 Many new documents are being worked on.
 There are many things you need to know..

 

 

 

 

This is list of the positions on the Quinte Regional Science and Technology Fair organizing committee. They are not the only way to volunteer.

Chief Judge
  • Must have had previous judging experience at the QRSTF.
  • Attend regular monthly meetings of the QRSTF.
  • Communicate with and assist the Judges Chair from September-September with any tasks the Judges Chair needs help with.
  • Create, organize, and present the judges information presentation at the Judges Orientation (March)
  • Present judging information to the judges on the day of the fair (April)
  • Remain in the judges room only, on the day of the fair to answer questions, distribute materials and problem solve.
  • Create the CWSF judging group from experienced judges, and ensure they are ON TIME (Chief Judge will have the final say if there is a tie for CWSF spots).
  • Ensure materials needed for the judge’s room are there for the night before the fair (I.e., flags, clipboards, all forms needed have been photocopied, pencils, judging envelopes, etc.)
Judges Chair
  • Must have had previous judging experience at the QRSTF.
  • Attend regular monthly meetings of the QRSTF.
  • Contact all judges interested in judging at the QRSTF for the coming year.
  • Email/ contact judges for registration purposes.
  • Registration is done online.
  • Communicate information by email and phone about the judge’s orientation night and the day of the fair information.
  • Greet the Judges in the judge’s room on the day of the fair.
  • Create a list of volunteer judges with name, phone numbers, and email addresses who are open to judge at school science fairs
  • Keep an inventory of the judge’s ribbons ·        including the names needed for the name tags.
  • Organize all judging groups (first and second round)
  • Ensure materials needed for the judges room are there for the night before the fair (I.e., flags, clipboards, all judging forms, pencils, judging envelopes)

  • Communicate with the Day of Fair Logistics Chair (to ensure that materials are not duplicated)
  • Communicate with and assist the Chief Judge from September-September with any tasks the Chief Judge needs help with.
School Contact and Community Outreach Chair  
  • Attend regular monthly meetings of the QRSTF.
  • Contact all school representatives with QRSTF information
  • Send posters to schools
  • Provide support to schools who have questions
  • Provide a list of judges open to volunteering at school level science fairs. This list may include committee members.(Given to you by the Judges Chair)
  • Organize community parent information sessions – Create presentation to encourage science fair participation
  • Have initiative to create and suggest new ways of gaining public interest in Science and Science fair participation.
Day of Fair Logistics Chair
  •  Attend regular monthly meetings of the QRSTF.
  • Invite and communicate with all volunteers who help run the fair the day of.(Kiwanis volunteers, student volunteers,Loyalist college volunteers)
  • Organize security guard for day of fair (Through Loyalist College) – completed for 2017 already.
  • Create map of projects with project numbers of the gym collaboratively with the day of fair committee.
  • Organize and order the food for the judge’s room through Loyalist College catering service.

o   Food is for all QRSTF members, Kiwanis members, all volunteers

o   Ask for the cafeteria to be open during lunch hours

o   Ask for Tim Hortons to be open during morning hours

  • Liaison with Loyalist College representative

o   About science demos/tours/booths

  • Contact and communicate with all sponsor organizations who set up a booth at the fair

o   Ensure they have enough space

  • Assign photographer job to committee member

o   Take pictures of each student and their project within the first 2 hours of the fair, and hand in disk to the creator of the slideshow presentation for the awards ceremony.

  Day of Fair Committee

* 5 people needed for this committee at least.

 
  • Attend regular monthly meetings of the QRSTF.

Webmaster
  •  Communicate with the Web Design Chair
  • Work in conjunction with the Web Design Chair to accomplish the website goals of the QRSTF.
Web Design Chair 
  • Attend regular monthly meetings of the QRSTF
  • Create a new website for the QRSTF.
  • Must be tech-savy and know how to create a streamlined website that is attractive for youth and parents.
  • Know how to use Social Media: Youtube, facebook, and twitter, and update all pages for the QRSTF.
  • Update website with all new material for the upcoming fair

o   add pictures and information about each student on the alumni page

o   Back up the fair’s data

  • Roll over the fiscal year of the fair to reflect the current year ·        
  • Be willing to use an older system called Science Fair in a box (SFIAB) (this is out current method of registration for the fair for both participants and judges).
  • Record all new committee members on the SFIAB website and remove those not participating.
  • Update all awards being given out.
  • Update School Management System on SFIAB.
  • Update all documents to the new dates/information
for each fair.
  • Update sponsors list for the website.

Registrar of the Fair
  •  Attend regular monthly meetings of the QRSTF
  • Controls all forms for students entering for the fair
  • Organizes all aspects of setting up groups of students into grade and category
  • Using science fair in a box
  • Calling all schools or students
  • Checks all students have paid registration fee
  • Sends out letters to all schools in the Quinte area asking for donations for the QRSTF to help support and run the fair.
  • Checks that all schools are invited to help support their students and the fair by sending money to the fair.
